This article explains how to manage device data in Actifile, including options to delete, archive, uninstall, or release licenses.
After completing a Data Risk Assessment (DRA) or replacing a device, Actifile provides several options for managing agent data and licenses. Depending on your needs, you can delete, archive, uninstall, or release the device license.
Available Options
Delete and Archive

Delete: Permanently removes device-related data from reports and the risk portal. Deleted files won’t appear in Data Explorer, and the device will no longer contribute to risk totals.
- Undelete option: Available for 7 days. After this period, all related data (risk data, file records, classification, etc.) is permanently purged.
- Licensing impact: Deleted devices do not consume a license, and the license is automatically returned to the pool.

Archive: Hides the device’s risk data from the portal and reports but retains it for future investigations.
- Data retention: Archived devices remain in the database for the life of the tenant and can be restored at any time.
- Licensing impact: Archived devices do not consume a license, and the license is automatically returned to the pool.
Uninstall
- Removes the agent from the device with an optional choice to delete its data.
- Licensing impact: Uninstalled devices do not consume a license, and their licenses are automatically returned to the pool.
Release License
- If the agent is no longer needed, releasing the license stops license consumption. If a new scan is required later, the agent can be re-licensed.

Note: If a device is no longer in use, its associated license will remain active until the license is released and/or its data is deleted or archived.
